Start with the repeat.

Look for a task your team performs every week: sorting enquiries, drafting follow-ups, or preparing an internal report. Write down what starts the task, what information it needs, and what a good result looks like. A process you cannot describe is a difficult process to improve.

Give the pilot a finish line.

Choose one owner and one measure: minutes per completed task, corrections per draft, or time to first response. Record a baseline before introducing AI. Include review time and tool costs in the comparison. A fast draft that takes longer to check is not a saving.

Keep approval close to the work.

Begin with drafts and recommendations that a person reviews. Use approved data, define when the tool should stop, and keep a manual fallback. Expand only when the team can explain what works, what fails, and who owns the next step.

Pick one repeated task. Measure it. Pilot it. Review the result before expanding.
